Circulation Coordinator

CLASSIFICATION: Part-time, hourly/non-exempt
WORK SCHEDULE: 17.5 hours per week.
EXPECTED PAY RANGE: $18-$20/hour

JOB SUMMARY: Continual updating of Catholic Courier print-subscription databases; gathering, editing and proofreading updated listings for annual Diocesan Directory; coordinating the annual pro bono Catholic Courier/Catholic Charities Christmas Appeal; ongoing maintenance of physical newspaper archives; general office duties.

Primary Duties:

  1. Maintains database records for 90,000+ subscribers to the printed Catholic Courier based on electronic and hard-copy updates from the U.S. Postal Service as well as email and telephone requests from subscribers and their parishes.
  2. Fields delivery complaints from Courier subscribers and resolves them through USPS channels; as needed, obtains prior USPS approval of pre-printed advertising materials to be inserted into issues of the Courier.
  3. Maintains positive customer relations with pastors, parishes and individual subscribers; handles inquiries, suggestions and complaints, referring them to the general manager or other department heads as appropriate.
  4. Shares (as primary) with the office manager such office duties as answering telephones and picking up mail in the Pastoral Center mailroom and/or occasionally at the local post office.
  5. Manages accurate, timely updating and production of the annual Diocesan Directory; promotes, processes and fulfills Directory sales.
  6. Coordinates the annual Catholic Courier/Catholic Charities Christmas Appeal, initiating development of annual solicitation letter, maintaining donor database, processing the annual solicitation mailing, recording donations and other tasks.
  7. Maintains the physical newspaper archives, including both bound editions and loose issues; incorporates subsequent print issues; ensures that minimum copies are retained and that all materials are organized in an easy-to-find manner.
  8. Other duties as assigned, potentially including Courier mail preparation and some accounting tasks, as appropriate to the individual’s abilities.


  1. High school graduate with significant office experience.
  2. Strong interpersonal skills, customer-service and teamwork orientation.
  3. Organizational skills and ability to effectively juggle simultaneous projects.
  4. Computer skills and facility in learning new applications; prior experience with database management and mastery of Microsoft Outlook and Excel are strongly preferred; familiarity with Microsoft Sharepoint and Access helpful.
  5. Accuracy, thoroughness and attention to detail are essential; bookkeeping experience is a plus.
  6. Responsibility and sound judgment; commitment to the mission and overall objectives of the Rochester Catholic Press Association; grasp of overall newspaper operations, including interrelationships among functional departments.
  7. Responsible and respectful approach to Catholic culture and sensibilities; sensitivity to the concerns of pastors, readers and parish staffs.
